Reporting to the Human Resources Manager, this position will support the payroll and benefits processes including enrolment, data entry, validation, review and reconciliation processes. In this role, you will leverage your skills of payroll and benefit administration to ensure a seamless employee experience in a multi-jurisdictional business.
About the Team
Butterfield employs more than 1,300 people across 10 jurisdictions. Our Human Resources team focuses on all areas of HR including talent management, culture and engagement, recruitment and retention, learning and development, payroll and benefits, and information management and analytics. Our global HR team works closely with key stakeholders and business leaders to provide a strategic partnership ensuring the business has the talent and resources required to meet growing demands while working collaboratively to create a positive and rewarding employee experience.
Your responsibilities will include:
- Assisting with preparing and processing semi-monthly payroll in collaboration with a third-party payroll provider and in accordance with payroll processes and internal controls.
- Maintaining accurate and up-to-date employee records including personnel files, payroll records, and benefit details in accordance with departmental policies and procedures.
- Preparing payroll files in a timely and accurate manner ensuring supporting documentation is well organized and available for review and audit purposes.
- Supporting employee benefit administration including RRSP, medical and dental benefits, personal spend accounts and other voluntary benefits.
- Supporting year-end activities including but not limited to audit and SOX control review as well as T4 production and data verification.
- Conducting regular reviews of payroll and benefits data to ensure accuracy and completeness.
- Collating documentation, preparing reports and performing analyses to support management, auditors, and other stakeholders.
- Responding to employee inquiries as it relates to benefits and/or payroll and troubleshoot and escalate as required.
- Coordinating with the HR Team on onboarding and offboarding processes ensuring timely and accurate processing of employee changes.
- Owning the coordination and accuracy of digital employee personnel files and information with the primary responsibility for file reviews while consistently adhering to Group policies and procedures.
- Developing solid understanding of internal controls, policies and processes to ensure compliance.
- Carrying out other projects and tasks as identified and required.
Requirements
Your qualifications and skills include:
- Post secondary education combined with a minimum of 2 years of related experience.
- Experience in a SOX or similar control environment will be considered an asset.
- Strong attention to detail and organizational skills with the ability to meet strict timelines.
- Excellent communication and interpersonal skills with the ability to interact effectively with employees across various levels of the organization.
- Strong analytical and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with a strong commitment to data privacy and security combined with the ability to act impartially.
- Ability to work independently in a fast-paced environment.
- Detail oriented and ability to take initiative while applying critical thinking
- Proficiency in MS Office with strong proficiency in MS Excel.
